Filing System Drive Setup

All of our data is stored on Dropbox. When setting up Dropbox under the sync settings, set “New Files Default” to “online-only” to conserve disk space.

To map the required network drives, right-click on “This PC” in Window’s explorer and select “Map network drive…”

Select the appropriate drive letter and browse or type the following respective paths:

Folder and File Naming

Folders

In order to allow for chronological filing, any sub-folders created should be named with the following naming convention:

Examples

A folder for photos taken by Erik Larson on a site inspection on Jan 31, 2017 should be named:

2017-01-31 Site Inspection EL

A sub-folder under Drawings/Arch for architectural drawings dated Feb 4, 2017 should be named:

2017-02-04 Architectural

Files

Working files (Word, Excel, AutoCAD, etc.) should be named with the following naming format:

Issued files (PDFs) should be named with the following format:

A spreadsheet for calculating plumbing fixture units for project 17001 should be named: 

17001 Calcs – Plumbing 

A field report for project number 17025 written on January 31, 2017 should be named:  

17025 2017-01-31 Field Report M-2

A transmittal for a building permit package project number 17074 written on March 3, 2017 should be named:  

17074 2017-03-03 Transmittal BP

Folder Structure

Each project folder has the follow folders:

The root “Drawings” directory should contain only CAD files for the mechanical/fire protection/plumbing design. No old versions or other drawings should be located here.  There should never be more than one copy of a .dwg file. You can move old versions to the archived folder.

The drawings folder has the following sub-folders:

Creating a New Project

To create a new project and assign a project number, navigate to the current projects drive (I:\). Right click on the folder entitled, “New Project Template,” and select copy. Then right click in the Current Projects Drive and select paste. Rename the folder with the next available project number.  

Using Templates

There are Delta-T templates for most documents you need to create. For Microsoft Word or Excel documents, click on the “File” menu and then click “New”. Underneath the search bar, click on “Personal” for all Delta-T templates:

Excel calculation templates are setup with required inputs highlight by using red text. Calculated values are shown in black text. In the example below, only the city, area served by roof drain, and adjacent vertical area are to input by the user.
